A custom pod system program is incomplete if the replacement cartridge plan waits until after device approval. Once the device interface, packaging, and production schedule are locked, changing cartridge capacity, coil configuration, or fill-port geometry adds another sample round and pushes the whole project back.

Plan the device and cartridge as one supply program. The device brief defines the body and electrical requirements. The cartridge brief defines the interface, capacity, resistance options, filling method, packaging, and reorder structure. Confirm both before sample approval and you get a clearer development schedule plus a repeatable route for later replenishment.

Not every cartridge needs new tooling. An existing platform may already carry a confirmed cartridge configuration. A buyer-defined interface or capacity may need new housing or mold development. The quotation and approved drawings should state which route applies, what needs validating, and which parts can be reordered without reopening development.

What Must Be Locked Before Cartridge Sample Approval

A cartridge affects more than the fit between two plastic parts. It drives electrical contact, airflow, filling equipment, packaging, and later replenishment. Confirm these items alongside the device specification.

New cartridge tooling can form part of an OEM project. Paying for that tooling does not by itself restrict who else can order the same cartridge. Restricted supply depends on the contract — who commissions the tooling, and how the design and tooling rights are assigned. Settle this in writing before development starts, not after the first reorder.

The Two Timelines That Govern the Schedule

Buyers ask for one lead-time number. Development and production measure different work. Development applies when the project needs new housing or mold work. Production starts after the required samples and specifications are approved.

These stages stack on a first order for a new tooling project. Later orders using the approved configuration need the production stage only. A project built on an existing cartridge platform may skip most of the development stage, but confirm the exact scope before quotation.

Work backward from the required delivery date. Count development, your own review time, production, documentation, transport, and any destination-market notification period that applies. A delayed sample decision moves everything downstream even when the production slot stays open.

The A16 refillable configuration lists three resistance options in a 2ml cartridge. The A16-2 pod mod carries the same resistance range in a separate 3ml configuration. The AD04 empty pod cartridge runs a two-option set at 0.8Ω and 1.1Ω.

Do not assume that cartridges sharing resistance options share an interface. Confirm the exact device and cartridge pairing in the quotation, the approved sample, and the production specification before you order.

Compatibility Projects for Existing Device Platforms

Some buyers need an empty cartridge for a device already in circulation rather than a new device program. GG-VAPE reviews this type of brief. Send the target device, an interface drawing, or a physical sample, and we confirm the available configuration and the validation scope from there.

A compatibility review covers physical fit, electrical contact, airflow alignment, cartridge retention, and repeated insertion and removal. Visual similarity proves nothing. Small differences at the interface can break reliable contact or change how the cartridge seats inside the body.

A compatible cartridge must not be presented as an authorized or original component of another brand without documented authorization. Any third-party trademark, protected design, or branded packaging needs written permission from the rights holder. That responsibility sits with the brand owner selling into the destination market.

Six Checks Before Approving a Cartridge Sample

Sample approval should treat the cartridge as a working component, not a shape. Record the test method and acceptance criteria so your team and ours judge the same configuration.

  • Device pairing. Test the cartridge with the exact device model named in the project. Check fit, electrical contact, retention, and airflow alignment.
  • Fill-port access. Test the port with the actual filling needle or equipment you will run in production. A similar needle proves nothing about throughput.
  • Resistance consistency. Take resistance readings across multiple sample units, never from one cartridge.
  • Material documentation. Record the exact resin grade and request the matching documentation for your project file.
  • Seal behavior. Judge filled and sealed samples under the storage and transport conditions the project defines. A dry-fit inspection tells you nothing about a filled part.
  • Fit-cycle testing. Insert and remove the cartridge repeatedly, then recheck retention and electrical contact. Set the cycle count and the acceptance limit before approval, not after.

Cartridges pass through the same four-stage quality structure as device production: IQC → IPQC → FQC → OQC. The cartridge quality plan defines incoming-material checks, in-process controls, finished-part criteria, and outgoing inspection for the confirmed configuration.

Forecasting Cartridge Volume Against Device Volume

No universal device-to-cartridge ratio exists. The right quantity depends on how many devices stay active, how often the market replaces a cartridge, the sales channel, the replenishment lead time, and the safety stock you need to hold. A distributor supplying retail stores carries a different reserve from a brand shipping out of one warehouse.

Start with the active device base you expect during the planning period. Estimate how many cartridge replacements that base will pull before the next production order can land. Add safety stock for demand swings, rejected inventory, and delivery variation. Treat the result as an opening plan, not a permanent rule.

A workable formula: active devices multiplied by expected replacements during the replenishment period, plus required safety stock. Keep each device model separate, because an order for one cartridge configuration cannot cover another.

After launch, swap assumptions for order data. Track cartridge sales by device model, channel, and reorder period. That tells you whether the original replacement estimate ran high or low, and gives the next production order a real basis.

MOQ and Order Structure

Custom hardware runs start at 10,000 units per model. Within that total, each color needs at least 2,000 units, because a color change means a separate injection run.

When device and replacement cartridges are ordered together, list them as separate items in the quotation and the production specification. That keeps the initial device quantity, the included cartridges, standalone replacement cartridges, and later reorder requirements clear.
